Who are we looking for?

As a Finance Assistant (Operations AR/AP), you will be the crucial link between our operations and finance teams. Your role will ensure that any changes in costs, prices, or payment records are accurately reflected in our financial and accounting records. This position requires a deep understanding of how financial data impacts both operations team and client interactions.

What will be your responsibilities?

  • Ensure that there are no discrepancies between the different systems and documentation.
  • Identify and resolve discrepancies between Operation Team Members' actions in our system and providers’ invoices/statements.
  • Process invoices and payments promptly, ensuring all providers are paid on time.
  • Understand and monitor payment processing, refund procedures, and accounting impacts in Xero.
  • Collaborate effectively with operations teams.
  • Clearly explain financial impacts to non-finance colleagues.
  • Manage multiple invoices and payments while meeting strict deadlines.
  • Maintain accuracy and efficiency, especially during peak seasons when urgent payments are required.
  • By request, prepare cancellation letters for the clients to be provided to the insurance companies.
  • Issue hotel/provider commission invoices.
  • Assist in weekly payments crosscheck.
  • Assist in monthly unpaid services checks.
  • Monitoring provider refunds.
  • Performing other tasks according to the needs of the finance department.

What do we need?

  • Minimum of 1 year of experience in finance, accounting, or a related operational finance role.
  • Experience with payment and invoice processing, a basic understanding of Accounts Payable.
  • Familiarity with accounting software is a plus
  • Analytical skills and ability to identify and resolve financial discrepancies.
  • Ability to work in a fast-paced environment and meet tight deadlines.

    If the questionnaire is completed promptly and you match the essential criteria, we will invite you to interview with our hiring manager and/or the interview team. We never hire anyone into our organization without having met you face-to-face via Google Meets.

    Passed this, you are on to your last interview with the wider team, which is usually the team leader or whom you will report to, as well as one of the senior team members, to go over more in-depth questions about the role and some live exercises may be performed. But if that's the case, we shall give a heads-up.
